The Everyday Tech Kit for a 10-Person Office (2026): What to Buy and What to Skip

A shopping list — network, desks, meeting room, front desk and admin — built from the everyday hardware small teams actually buy, with the items you can safely leave in the basket.

As of September 2026, a ten-person office covers its everyday tech with fourteen items: mesh Wi-Fi and a switch; a mouse, webcam, USB-C hub and 65W charger at every desk; shared trackers, power banks and storage; a meeting-room display and camera; a front-desk iPad and a document scanner. We quote manufacturer list prices where they are published and point you to the live price for the rest. Skip the Kindle Paperwhite, the Echo Dot and the Switch 2 this month.

The Everyday Tech Kit for a 10-Person Office (2026): What to Buy and What to Skip

Most “office setup” lists are written for a home office of one or an enterprise of a thousand. A ten-person business sits in the awkward middle: too small for an IT department, too big to run on whatever cables are in the drawer. This guide is a shopping list for that business — every item is on our marketplace, chosen for reliability and price rather than from spec sheets — and, just as importantly, it names what to leave out. Laptops and phones are deliberately excluded; they have their own guides.

What does a ten-person office actually need?

Five things: a network that does not fall over when everyone joins the Monday call; a consistent set of desk peripherals so nobody hunts for a dongle; a way to find and power the things you carry around; one meeting room that works first time; and the admin hardware — scanner, front-desk tablet, storage — that removes paper and repetition. What you do not need in 2026 is a server room, a conferencing system that costs more than a laptop, or consumer gadgets bought because they were on sale.

We do not publish a total. Most rows are sold through Amazon, whose prices we do not reproduce (see our price policy), and storage prices in particular swing week to week in the 2026 NAND shortage — so price the list from the live listings on the day you order.

Which Wi-Fi system should a small office buy?

For most ten-person offices, the TP-Link Deco X55 3-pack: three Wi-Fi 6 nodes cover a typical small office floor, and Wi-Fi 6 is plenty for ten laptops on a sub-gigabit connection. Two honest notes from our research: HomeShield Pro is a subscription upsell you do not need, and TP-Link has been under US-government scrutiny since late 2024, which regulated buyers may reasonably weigh.

If either note bothers you, or you want Wi-Fi 7 for a longer life, step up to the Amazon eero Pro 7 (sold as a 1-, 2- or 3-pack). The eero Max 7 is overkill for ten people unless you have multi-gigabit internet and 10GbE gear to feed; skip it. Whatever you choose, add a TL-SG105 switch behind the printer and the meeting-room screen so the fixed devices are wired, not fighting for Wi-Fi. It is unmanaged and has no PoE — exactly right for this job.

What should every desk have?

Four low-cost items, chosen so that any laptop can sit down at any desk:

  • Logitech M185. A long-running office staple; USB-A receiver only, so pair it with the hub below (Bluetooth users want the M196 instead).
  • Logitech Brio 101. A fixed-focus 1080p/30 fps webcam with a mono mic — a clear step up from most laptop cameras for daily calls, and a deliberate step down from the MX Brio we put in the meeting room.
  • Anker 332 USB-C hub (5-in-1). HDMI (4K at 30 Hz only), USB-A ports for the mouse receiver and a memory stick, pass-through charging. No Ethernet or second display — if a desk runs two monitors, the Anker 8-in-1 dock is the one to buy instead.
  • Anker 735 charger (65W, 3-port). 65W is enough for every laptop in our Copilot+ guide and the phone at the same time (it shares 45W + 20W with two devices). No cable in the box; buy a 100W-rated USB-C cable per desk.

This is where standardising pays: ten identical hubs and chargers mean one spare of each in the cupboard covers every failure.

What should the office share?

  • Apple AirTag (2nd gen) 4-pack — list price $99 for the 4-pack (Apple, Sep 2026). Keys, the demo kit, the laptop that visits clients. iPhone/iPad only; if the team is on Galaxy phones (see our phone comparison), use Samsung SmartTags instead.
  • Anker Zolo power bank (20,000 mAh, 30W) ×2. Built-in USB-C cable, flight-safe at 74 Wh. Phones and tablets only — Anker’s 165W bank is the laptop-class option.
  • Samsung T7 portable SSD 1TB — check the live price; SSDs have roughly doubled in the 2026 NAND shortage. The fast local copy of anything that cannot wait for the cloud. No IP rating (the T7 Shield has one).
  • Seagate Portable 2TB. The slow, cheap, offline backup in a drawer. External hard drives have more than doubled in price since 2025 as data-centre demand drained supply (PCWorld), but a ten-person business still needs one copy of its data that is not on the network.

How should you kit out the meeting room and the front desk?

The meeting room needs a screen and a camera. The Amazon Echo Show 21 — wall mount included — is a 21-inch shared display for the team calendar, video calls and a browser dashboard. Be clear-eyed about what it is: a consumer device with an always-on microphone, and Alexa+ is not available in the Gulf (readers in Qatar get classic Alexa), so check it against your privacy policy. The cheaper route is a Fire TV Stick 4K Plus in the TV you already own — a lobby or break-room screen, though it is a consumer stick with an ad-heavy home screen, not a signage player. For the camera, the Logitech MX Brio at ~$199 is a 4K webcam with AI framing that covers a ten-person room from the end of a table; the Insta360 Link 2 at ~$199.99 is the gimbal-tracking alternative. The Meeting Owl 4+ at ~$1,049 is excellent and unnecessary at this size.

The front desk gets an Apple iPad 11-inch (A16, 128GB Wi-Fi) — list price $449 for 128GB Wi-Fi (Apple, Sep 2026) — for visitor sign-in, forms and point-of-sale. The A16 chip does not run Apple Intelligence, which is irrelevant for a kiosk. The Amazon Fire HD 10 is the budget alternative, with two caveats: Fire OS has no Google Play, so test your sign-in app first, and lock-screen ads cost $15 to remove.

What admin hardware removes paper?

One Ricoh ScanSnap iX2500 at $399.99 at the PFU Ricoh Store — 45 pages a minute, 100-sheet feeder, Wi-Fi 6, a receipt guide — is the single device that stops invoices, receipts and signed contracts piling up. Pair it with a bookkeeping inbox such as Dext and the paper never gets filed at all. If your business ships physical goods, add the Brother QL-820NWB label printer at $239.99; if it does not, skip it. A SwitchBot Lock Ultra at $139.99 standalone replaces the key-cutting ritual every time someone joins or leaves, and a couple of Tapo P125M Matter smart plugs (~$19.99 list, $11.99 on the Tapo store) switch the meeting-room screen and the coffee machine off at night. For notes, the Kindle Scribe is a good e-ink notebook for the one or two people who take handwritten notes in meetings; it is not a per-desk item.

What should you skip this month?

  • Kindle Paperwhite. Amazon raised Kindle list prices on 21 August 2026 (Fortune) and the Paperwhite has not been discounted since — wait for a price drop before buying one for the commute.
  • Echo Dot (5th gen). Its list price rose sharply in the same 21 August 2026 increase, so this month’s discounts start from a higher base than last month’s normal price.
  • Sony WH-CH520. A successor was certified ahead of IFA 2026; this is end-of-line stock. For the people who take calls all day, the Bose QuietComfort Headphones or the Sony WH-1000XM6 (~$449, Sony) are the ones to buy.
  • Nintendo Switch 2 — list price $499.99 (Nintendo, raised from $449.99 on 1 September 2026); availability is intermittent. No business case beyond the break room.
  • eero Max 7 and Meeting Owl 4+ — both excellent, both sized for a business three times yours.

What this list deliberately leaves out

Laptops (Best Copilot+ laptops for small business), phones (iPhone 17 vs Galaxy S26 Ultra for business), monitors — not yet on our marketplace — and desks, where the FlexiSpot E7 Pro at ~$400–600 is a per-person decision. It also leaves out the software layer, which matters more than any item above: a 1Password Teams plan at ~$19.95/mo (10 users) is the first subscription a ten-person office should buy. Everything else here lives in our Everyday Tech, Home Automation and Office Automation catalogues.

How we researched this

Digital4All has not tested these products hands-on. The selection is the everyday hardware small teams buy in volume, drawn from manufacturer product pages (Apple, Anker, TP-Link, Logitech, Samsung, Seagate, Nintendo, PFU Ricoh) and from the September 2026 coverage of these products in 9to5toys, MacRumors, Gizmodo, TechRadar, PCWorld, Digital Trends and Fortune. We quote a price only when the manufacturer publishes a US list price, attributed and dated; for Amazon-sold items we send you to the live listing instead. The “Updated” date above is the freshness signal to trust.

Frequently asked questions

What tech does a 10-person office need?

Five things: a mesh Wi-Fi system and a small switch; a consistent mouse, webcam, USB-C hub and 65W charger at every desk; shared trackers, power banks and a fast SSD plus an offline backup drive; one meeting room with a display and a good camera; and a front-desk tablet and a document scanner. Every item is on our marketplace; we quote manufacturer list prices where they are published and link to the live price for the rest.

How much does it cost to equip a small office with technology in 2026?

It depends on the week: most of the items in this guide are sold through Amazon, whose prices we do not reproduce, and storage prices in particular are swinging in the 2026 memory shortage. The published manufacturer list prices in the list are $99 for the AirTag 4-pack and $449 for the 11-inch iPad (Apple, Sep 2026), about $199 for the Logitech MX Brio and $399.99 for the ScanSnap iX2500 at the PFU Ricoh Store; per-desk peripherals are low-cost items. Price the rest from the live listings, then add laptops from our Copilot+ guide (from about $999 to $2,079.99 each) and phones (iPhone 17 from $829 unlocked, Apple).

Is the TP-Link Deco X55 good enough for a small office, or should we buy eero?

For most ten-person offices the Deco X55 3-pack is enough: Wi-Fi 6 comfortably serves ten laptops on a sub-gigabit connection. Choose the eero Pro 7 if you want Wi-Fi 7 for a longer life or if TP-Link’s US-government scrutiny since late 2024 matters to your compliance stance. The eero Max 7 only makes sense with multi-gigabit internet.

Which everyday tech should a small business avoid buying right now?

As of September 2026: the Kindle Paperwhite and the Echo Dot (Amazon raised both list prices on 21 August 2026, so this month’s discounts start from a higher base), the Sony WH-CH520 (a successor is imminent) and the Nintendo Switch 2 (Nintendo raised the list price to $499.99 on 1 September; no business case). Also skip the eero Max 7 and Meeting Owl 4+ — both are sized for a much larger office.

Do we need a dedicated video-conferencing system for a ten-person meeting room?

No. A 4K webcam with AI framing such as the Logitech MX Brio ($199) or Insta360 Link 2 ($199.99) at the end of the table, plus a shared display — an Echo Show 21, or a Fire TV Stick 4K Plus in an existing TV — covers a room of ten. The Meeting Owl 4+ at ~$1,049 is excellent but built for larger rooms.
