Ricoh ScanSnap iX2500

The ScanSnap line has been the paperless-office default for years, and the iX2500 is the current model: 45 pages per minute, duplex, a 100-sheet feeder, a 5-inch touchscreen, Wi-Fi 6 and a dedicated receipt guide. It replaced the iX1600 outright — Ricoh's own product page describes the older model as upgraded to this one, and the iX1600 is no longer sold new, which is worth knowing if you are working from a 2024 buying guide.

What makes it an automation device rather than a scanner is ScanSnap Home's routing. A scan can land directly in Dropbox or Google Drive, or in QuickBooks or Xero, sorted by profile, so filing is a button on the machine rather than a task at a computer. That is the feature that changes a small office's habits.

Two honest caveats. Independent testing has put its OCR accuracy at average rather than class-leading, which matters if you rely on searching the text inside scanned documents. And attaching receipts to transactions is still a manual step at the accounting end, not something the scanner completes for you. Volume is the other limit: past roughly a thousand pages a day this is the wrong machine, and the Brother ADS-4900W is the right one.
